School Policies &
Parent Guidelines

At Shining Star Preschool PJ, our policies are designed to provide a safe, organised and supportive environment for every child, while ensuring clear communication and a positive partnership between the school and our families.

We kindly ask all parents and guardians to read and understand the following policies. By enrolling your child at Shining Star Preschool PJ, parents acknowledge and agree to comply with the school's policies and guidelines.

Programme hours, term dates & school closures

Programme hours vary by age group, and term dates, public holidays and school closure dates are updated each term. Please contact the school directly for the latest schedule — we are happy to walk you through it.

Attendance & Arrival

Arrival Time

Parents are encouraged to arrive within the designated arrival time to allow their child sufficient time to settle in before the morning programme begins.

Children enrolled in the half-day programme should be collected according to their respective programme hours.

Late Arrival

Children arriving after the designated arrival time should be accompanied by their parent or guardian and wait at the school entrance until a teacher opens the gate.

As morning circle and classroom activities may already be in progress, parents are kindly requested to allow additional waiting time before the teacher is able to receive the child.

For safety and to minimise disruption to ongoing classroom activities, parents should not enter the school premises or classroom areas without permission from the teacher.

Absence Notification

If a child is unable to attend school, parents are required to notify the school via WhatsApp.

Parents are encouraged to notify the school as early as possible.

Pick-Up & Collection Policy

Collection Time

Parents are responsible for ensuring that their child is collected within the designated programme hours.

Authorised Collection

Children may only be collected by:

  • Their parent or legal guardian; or
  • A person authorised by the parent or guardian.

Parents must inform the school in advance if another person will be collecting their child.

The school may request appropriate identification or verification before releasing a child.

Late Pick-Up

Parents are expected to collect their child by the designated programme ending time.

A late pick-up fee of RM1 per minute will apply after the designated collection time.

Parents are encouraged to contact the school as soon as possible if an unforeseen delay occurs.

Change of Collection Arrangement

Any change to the child's collection arrangement must be communicated to the school via WhatsApp.

For last-minute changes, parents should provide sufficient information for the school to verify the collection arrangement before the child is released.

Health & Sick Child Policy

The health and wellbeing of our children, educators and wider school community are a shared responsibility between the school and families.

When Should a Child Stay Home?

Parents should keep their child at home if the child is experiencing symptoms such as:

  • Fever
  • Persistent or significant coughing
  • Flu symptoms that affect the child's ability to participate comfortably
  • Difficulty breathing
  • Vomiting
  • Diarrhoea
  • Unexplained rash
  • Eye infection or unusual eye discharge
  • Significant lethargy or weakness
  • Symptoms of a contagious or infectious illness
  • Any other condition that may affect the wellbeing of the child or other members of the school community

Parents are encouraged to seek medical advice when they are uncertain whether their child is fit to attend school.

If a Child Becomes Unwell at School

If a child becomes unwell during school hours:

  1. The school will contact the parent or guardian.
  2. The child will be cared for and supervised while waiting for collection.
  3. Parents are expected to arrange collection as soon as reasonably possible.
  4. If the situation is considered an emergency, the school may seek appropriate medical assistance.

Contagious Illnesses

If a child is diagnosed with a contagious or infectious illness, parents are required to seek medical advice and obtain a doctor's clearance letter confirming that the child is fit to return to school.

The clearance letter must be submitted to the school before the child returns.

This requirement is in place to help protect the health and wellbeing of the child, classmates, teachers and the wider school community.

Returning to School After Illness

A child should only return to school when they are well enough to participate in normal school activities.

For illnesses requiring medical clearance, the required doctor's clearance letter must be submitted before the child returns.

Medication Policy

The school understands that some children may require medication during school hours. Medication will only be administered where appropriate and according to the instructions provided by the parent or guardian.

Fever Medication

The school does not administer fever-reducing medication.

If a child develops a fever at school, parents will be contacted to arrange collection.

Children must be free from fever medication for at least 12 hours before returning to school.

Parents should not administer fever medication shortly before sending their child to school in order to mask a fever.

Other Medication

Medication such as prescribed antibiotics may be administered by the school where appropriate instructions have been provided by the parent or guardian.

Medication should:

  • Be clearly labelled with the child's name;
  • Be in its original packaging where applicable; and
  • Include clear dosage and administration instructions.

Emergency & First Aid Policy

The school maintains procedures to respond appropriately to accidents, injuries and medical emergencies.

In the event of an accident or injury:

  • Appropriate first aid will be provided where necessary.
  • Parents or guardians will be informed according to the nature and seriousness of the incident.
  • An accident or incident record may be completed.
  • In an emergency, the school may contact emergency medical services.

Parents are responsible for ensuring that all medical information provided to the school is accurate and kept up to date.

Personal Belongings

Parents are encouraged to clearly label all belongings brought to school. This includes:

  • School bags
  • Water bottles
  • Shoes
  • Hats
  • Jackets
  • Accessories
  • Personal items

Parents are advised not to send valuable or unnecessary personal items to school.

The school will not be responsible for the loss or damage of valuable or unnecessary personal belongings brought to school.

Photography, Video & Social Media

The school may take photographs and videos of children during school activities for purposes such as:

  • School events
  • Project documentation
  • School displays
  • School publications
  • Website content
  • Social media
  • School marketing and promotional materials

Parents will be informed of the school's photography and media practices during enrolment.

Parents are also requested to respect the privacy of other children and families when taking photographs or videos during school activities and events.

Parent Photography

Parents should not photograph or record other children without appropriate consent.

Parent Communication

Shining Star Preschool PJ communicates with parents through our official communication channel, WhatsApp.

Communication Hours

Our official communication hours follow the school's operating hours.

Please understand that our Principal and Supervisor are also required to actively monitor and support the children and teachers during school hours. Therefore, parents may occasionally experience a delayed response even during our communication hours.

We appreciate your patience and understanding while our team balances parent communication with their responsibilities in the school.

Absence & Collection Changes

Absence notifications and changes to collection arrangements should be communicated via WhatsApp.

Urgent Matters

For urgent matters during school hours, please call 012-334 1364 or contact the Principal directly.

For emergencies requiring immediate medical or emergency assistance, parents should contact the appropriate emergency services.

Parent-School Partnership

We believe that a positive relationship between parents and the school is important to every child's experience. Parents are encouraged to:

  • Communicate openly with the school.
  • Keep the school informed of important changes affecting their child.
  • Provide accurate and updated information.
  • Follow school procedures.
  • Participate in relevant school activities and events.
  • Raise concerns through the appropriate communication channels.
  • Work collaboratively with our educators.

We value open, respectful and constructive communication between families and our school team.

Parent Code of Conduct

To maintain a respectful and positive school community, parents and guardians are expected to:

  • Treat teachers, staff, children and other families with respect.
  • Communicate concerns appropriately and respectfully.
  • Follow school safety and operational procedures.
  • Respect the privacy of other children and families.
  • Avoid photographing or recording other children without consent.
  • Avoid confrontational, threatening or inappropriate behaviour on school premises.
  • Work collaboratively with the school when addressing matters involving their child.

School Events & Activities

Parents will receive information regarding major school events and activities through the school's official communication channels.

Depending on the activity, parents may be required to provide:

  • Consent
  • Participation confirmation
  • Appropriate attire
  • Required materials
  • Transportation arrangements
  • Other items specified by the school

For off-site activities and excursions, separate information and consent forms may be provided where applicable.

Fees & Payment Policy

School Fees

School fees are payable on or before the 1st day of each month.

Parents are responsible for ensuring that payment is made on time.

Late Payment

A 10% late payment fee will be applied to overdue school fees.

Parents are encouraged to make payment promptly to avoid additional charges.

Deposit

A deposit equivalent to one month's school fees is collected upon enrolment.

The deposit is subject to the school's withdrawal and refund terms stated below.

Withdrawal Notice

Parents who wish to withdraw their child from the school are required to provide one (1) month's written notice. The withdrawal notice must:

  1. Be communicated to the child's teacher or Principal; and
  2. Be formally submitted in writing through an official letter and passed to the Management.

Verbal notification alone does not constitute formal withdrawal notice.

If less than one (1) month's notice is given, the deposit will be forfeited and will not be refunded.

Deposit Refund Upon Withdrawal

Where the required one (1) month's written notice has been provided, parents are required to settle all school fees and applicable charges up to the child's last day of study.

The deposit will be refunded after the child's withdrawal, subject to all outstanding fees and obligations being fully settled.

Deposit Refund Upon Graduation

For children who graduate from the school, parents are required to settle all applicable fees up to the child's last day of study.

The deposit will then be refunded after the child's final day, subject to all outstanding fees and obligations being fully settled.

Deposit Cannot Be Used to Offset Final Fees

The deposit cannot be used to offset the final month's school fees.

This is to ensure that the final month's school fees and the refundable deposit are accounted for separately. Offsetting the deposit against the final month's fees may result in miscalculations and additional administrative work.

Parents are therefore required to make the final month's school fee payment in full. The refundable deposit will subsequently be processed separately.

Deposit Forfeiture

The deposit will be forfeited and will not be refunded if the parent provides less than one (1) month's written notice of withdrawal.

Non-Refundable Fees

The following fees are non-refundable:

  • Registration fees
  • School fees
  • After-school care fees
  • Miscellaneous fees
  • Uniform fees

Non-Refundable Fee Policy

Fees paid to the school are non-refundable once the relevant enrolment, programme, service, materials or arrangements have been confirmed, provided or committed by the school.

This policy applies regardless of whether a child subsequently withdraws, is absent from school, or chooses not to utilise the relevant service.

Registration Fees

Registration fees cover the administrative and enrolment process and are non-refundable once the child's registration has been processed.

School Fees

School fees cover the child's place in the programme, staffing, facilities and ongoing operational costs. School fees are therefore non-refundable.

After-School Care Fees

After-school care fees are non-refundable once the service has been booked or charged.

Miscellaneous Fees

Miscellaneous fees may cover materials, activities, services or arrangements made by the school. These fees are non-refundable once the relevant cost has been incurred or committed.

Uniform Fees

Uniform fees are non-refundable once uniforms have been ordered, prepared or issued.

Any exceptional consideration regarding refunds will be subject to the discretion of the School Management.

Parent-Initiated Withdrawal

Parents who wish to withdraw their child should first communicate with the class teacher or Principal.

The withdrawal must then be formally notified in writing through a letter submitted to the Management.

The required notice period is one (1) month.

Parents remain responsible for all applicable fees during the notice period, regardless of the child's attendance, unless otherwise agreed by the Management.

If less than one (1) month's written notice is provided, the deposit will be forfeited and will not be refunded.

Where the required one-month notice is fulfilled, the refundable deposit will be processed separately after the child's final day, provided that all outstanding fees and obligations have been fully settled.

Privacy & Personal Data

The school collects and maintains personal information necessary for:

  • Enrolment
  • School administration
  • Communication
  • Emergency contact
  • Health and safety
  • School records
  • Learning documentation

Parents are responsible for keeping their child's information updated, including:

  • Parent/guardian contact numbers
  • Emergency contacts
  • Medical information
  • Allergy information
  • Authorised collection persons
  • Address and other relevant information

The school will handle personal information according to its applicable privacy and data protection practices.

Parent Acknowledgement

By enrolling a child at Shining Star Preschool PJ, parents and guardians acknowledge that they have read, understood and agreed to comply with the school's policies and guidelines.

These policies are established to ensure a safe, organised and positive environment for our children, families and school team.
